The Role

We are looking for a Building Maintenance and Services Contract Administrator to support our Real Property Planning and Management (RPPM) Branch. The Building Maintenance and Services Contract Administrator would be someone who shares our core values of Integrity, Excellence, Respect and Creativity. 

 

The Real Property Planning and Management (RPPM) Branch is responsible for operations and maintenance of approximately 65 facilities in the National Capital Region supporting research and development activities in a campus environment.

 

The Building Maintenance and Services Contract Administrator coordinates the work of contractors performing scheduled fixed scope contract work, much of which is associated with regulatory compliance, and ensuring that obligations and responsibilities with respect to these contracts are met, including health and safety, security and financial expenditures.

 

The incumbent also manages minor repair work resulting from fixed scope contract work, generally through standing offer contractors. This involves the collaboration with the supervisor in the process of renewing service contracts by reviewing the scope of work and providing technical recommendations for changes.

 

The Building Maintenance and Services Contract Administrator also conducts audits of service contracts. Reviewing and confirming the accuracy of reports from service providers for maintenance and inspection services is also a key component of the position. 

Screening Criteria

Applicants must demonstrate within the content of their application that they meet the following screening criteria in order to be given further consideration as candidates:

Education

College Diploma in Architectural, Mechanical or Electrical Engineering Technology, Trade Licence or a related discipline. 

 

A combination of education and related work experience could be considered.

 

The following certifications or training will be considered as an asset: 
 

  • Facility Management Administrator Designation - Building Owners and Managers Institute (BOMI).
  • Real Property Administrator - Building Owners and Managers Institute (BOMI).
  • WHMIS 
  • Designated Substances Awareness 
  • First Aid Level 1

Experience

  • Significant experience with the coordination and monitoring of contractors scheduled inspections or maintenance for service contracts related to buildings, facilities or infrastructure as well as for improvement projects.
  • Significant experience reviewing and assessing inspection or service reports for corrective actions or recommendations.
  • Significant experience reviewing and ensuring compliance with relevant sections of federal and provincial codes, standards, acts, legislation and regulations for life safety systems such as fire detection and protection systems, emergency power systems, elevating devices, gas monitoring and detection, etc.
  • Significant experience communicating regularly with stakeholders to coordinate access for contractors performing scheduled service or maintenance inspections, including service interruptions and resolving/investigating problems as they are identified
  • Significant experience working in a complex environment serving a number of internal clients simultaneously and managing multiple concurrent tasks and priorities. 
  • Basic experience utilizing a computerized maintenance and management systems for tracking, recording and reporting of inspection and service work for facilities and installed equipment including record keeping of contract related documents.
  • Basic experience providing cost estimates for maintenance and minor project work including reviewing and approving invoices.
  • Basic experience with Microsoft Word, Excel, PowerPoint, email, calendars, and web browsers.

  • Solid knowledge of codes, standards and regulations required to create and maintain a safe work environment. 
  • Solid knowledge of best practices to effectively schedule and manage services contractors. 
  • Ability to provide advice and recommend changes to contracts for established services agreements.
  • Solid knowledge in records managements.  
  • Solid knowledge of service and maintenance contracts terminology.

Compensation

Salary under review 

 

From $64,022 to $75,389 per annum.
